Background & Role Overview 

The Country Management Office (CMO) supports and develops the people, projects, and business management of CTRD (UK & Arabia) within the Kingdom of Saudi Arabia. The CMO provides the centralized functions required to ensure that our people and projects receive the support they need to succeed. 

Working within the CMO, the Fleet Specialist is responsible for supporting the management, maintenance, and optimization of the company’s vehicle fleet and logistics operations across the Kingdom. The role plays a key part in ensuring operational efficiency, safety, and compliance with local regulations, while also ensuring that the company’s projects and personnel receive reliable fleet and logistics support. 

The Fleet Specialist contributes to the effective day-to-day operation of the fleet, including vehicle scheduling, maintenance coordination, asset tracking, and compliance monitoring. The role helps ensure fleet availability, cost-effectiveness, and safe operations while supporting the movement of company assets efficiently and in accordance with company policies and regulatory requirements. 

Working closely with internal departments, suppliers, and vehicle users, the Fleet Specialist helps maintain strong communication channels to ensure smooth logistics operations and effective fleet utilization across all projects.

Role Responsibilities  

  • Maintain and update the fleet register, including receiving new or replacement vehicles and ensuring all fleet records remain accurate and up to date. 
  • Monitor and coordinate vehicle servicing, inspections, and preventive maintenance in accordance with manufacturer recommendations and legal requirements. 
  • Schedule and track preventive and corrective maintenance, ensuring fleet availability and operational reliability. 
  • Maintain and manage vehicle documentation, including registration, insurance, permits, and inspection records. 
  • Ensure compliance with company safety standards, operational procedures, and relevant legal regulations governing vehicle operations. 
  • Develop, communicate, and support company policies and guidelines for safe, legal, and responsible vehicle use, including monitoring vehicle usage and identifying misuse or abuse. 
  • Manage and coordinate responses to road traffic incidents, including accident reporting, insurance coordination, arranging repairs, and organizing replacement vehicles when necessary. 
  • Coordinate vehicle repairs and workshop visits, with or without drivers, and follow up with service providers to ensure timely resolution. 
  • Maintain and manage vehicle running kits and essential fleet equipment where required. 
  • Support the daily operational planning and coordination of fleet activities, ensuring vehicles are available to support company projects and personnel. 
  • Maintain accurate fleet logs, service records, mileage reports, and fuel consumption data
  • Prepare regular management reports, including fleet performance, operational efficiency, incident tracking, and cost analysis. 
  • Liaise with external service providers, including workshops, rental agencies, and insurance companies, to ensure efficient fleet operations. 
  • Support procurement activities related to fleet operations, including spare parts, equipment, and service contracts. 
  • Monitor fleet-related expenditures, including fuel, maintenance, and spare parts, ensuring operations remain within the approved budget. 
  • Support annual fleet budget planning, identifying potential risks, cost variations, and operational requirements for future planning. 
  • Provide training, advice, and operational support to staff using company vehicles to improve safety, efficiency, and compliance. 

 

Requirements  

Essential  

  • 2 - 3 years + in fleet operations, transport logistics, automotive service, or related role 
  • Hands‑on experience with fleet management systems, fuel card programs, and maintenance workflows 
  • Strong organisational and time management skills 
  • Good communication and interpersonal abilities 
  • Fluent English 
  • Analytical thinking and problem-solving 
  • Ability to multitask and work under pressure 
  • Attention to detail and accuracy in record-keeping 

 

 Desirable  

  • Bachelor’s or Associate degree in Business, Supply Chain, Automotive Technology, or related field; 
  • Basic mechanical understanding of vehicles 
  • Intermediate to advanced MS Excel skills
