GHMachinery is a leading provider of heavy machinery and commercial equipment solutions, supporting key sectors including mining, construction, and logistics. As part of our growth strategy, we are expanding into the Electric Vehicle (EV) market, while continuing to strengthen our core heavy machinery operations.
We are building an integrated, future-focused commercial team and are looking for a Sales Administrator who can support both our traditional machinery business and emerging EV division.
The Role
This is a high-impact coordination role supporting the full Sales function across heavy machinery and electric vehicle portfolios.
You will work closely with Sales, Operations, Finance, Logistics, Marketing, and Executive Management to ensure smooth execution of commercial activities — from quoting and order processing to delivery, reporting, and strategic support.
You will also assist the team with reporting, presentations, and key initiatives.
Key Responsibilities
Sales & Commercial Administration
- Prepare quotations, proposals, and contracts across machinery and EV sales
- Manage order processing and track the full sales lifecycle through to delivery
- Monitor demo units, rental agreements, and machine release documentation
- Assist with commission tracking and validation
- Maintain accurate sales registers, asset records, and equipment tracking
- Work with Finance to monitor receivables and flag delays
Executive & Management Support
- Compile sales performance reports across all product lines
- Assist with executive presentations and board-level reporting packs
- Support strategic sales initiatives and special projects
- Prepare meeting documentation, minutes, and track action items
- Maintain strict confidentiality of financial and commercial data
Operations & Logistics Coordination
- Coordinate dispatch and release of heavy machinery and EV units
- Arrange transport to client sites (including mining operations where applicable)
- Track deliveries and follow up on Proof of Deliveries (PODs)
- Liaise with workshops, operations teams, transporters, and clearing agents
- Ensure pre-delivery inspections and documentation are completed
Reporting & Data Management
- Maintain CRM accuracy across all sales activities
- Track pipeline performance and assist with forecasting
- Compile weekly and monthly sales reports for management
- Support automation initiatives and workflow improvements
- Document and standardise processes to support business growth
Marketing & Sales Enablement
- Support exhibitions, mining industry events, and EV launches
- Assist with digital campaigns and lead tracking
- Ensure availability of product brochures, pricing, and sales materials
What We’re Looking For
- 3–5 years’ experience in Sales Administration / Commercial Support
- Experience supporting technical sales environments (machinery, automotive, logistics, mining, or similar)
- Strong Excel, reporting, and CRM system skills
- Excellent organisational and coordination ability
- High attention to detail and accuracy
- Ability to work across multiple departments and senior stakeholders
- Strong communication and problem-solving skills
