The purpose of this role is to provide strategic, operational, and administrative support to the Retail business unit, ensuring seamless sales execution, process improvements, and cross-functional collaboration. This role plays a key part in customer engagement, compliance, performance monitoring, and the effective implementation of business initiatives

Principal Accountabilities

Strategic & Operational Support

  • Support execution of Retail business strategies and monitor progress against operational KPIs
  • Coordinate cross-functional collaboration with internal stakeholders (Customer Service Centre, Finance/Credit, etc.) on behalf of the sales team
  • Maintain high standards of business integrity aligned with corporate principles and policies
  • Contribute to annual business planning through accurate retail and operational data gathering and validation
  • Participate in relevant training programs to support professional development

Project Management

  • Lead or support key internal projects such as customer data management, HSSEQ reporting, and contract management
  • Assist and lead implementation of strategic initiatives and digital tools (e.g., Winshuttle/SAP account creation)
  • Coordinate and track Retail sales team deliverables including meetings, travel, and administrative logistics

Process Improvement & Compliance

  • Ensure compliance with VE Namibia Credit Policy, including managing overdue debts, ADL (Average Days Late), and bad debt risks
  • Act as HSSEQ focal point, compiling monthly reports and ensuring safety standards
  • Manage purchase requisitions and procurement processes aligned with company policies
  • Support contract compliance through timely execution and monitoring of agreements

Administrative Oversight

  • Maintain customer contract registers ensuring agreements are valid, signed, and filed
  • Conduct customer data checks and assist in pricing, credit, and KYC processes
  • Prepare and distribute reports, dashboards, and meeting minutes with clear follow-up tracking
  • Manage filing systems, shared drive compliance, and support audits
  • Oversee procurement processes (POs and PRs), document control, and filing

Internal Communication & Stakeholder Engagement

  • Act as a liaison between Retail sales and other departments to ensure smooth communication
  • Represent the sales team in interactions with HR, Finance, and IT when necessary
  • Support customer engagement strategies and maintain key account relationships
  • Provide operational support for B2B and B2C departments during high workloads or absences

Performance Monitoring

  • Provide monthly OPEX variance analysis (budget vs actual)
  • Participate in annual planning exercises
  • Consolidate sales data and performance metrics for decision-making
  • Maintain reporting on financial and operational performance (customer statements, rebates, invoices, claims)
  • Monitor Retail KPIs including environmental risk assessments (NERA), ECCs, and HSSEQ tracking

Requirements

  • Postgraduate degree in Marketing, Business Administration, or Business related
  • Minimum 3 years of proven retail experience, including marketing and sales in a commercial environment
  • Valid driver's license is required
  • Proficient in MS Office (Excel, Word, PowerPoint), Outlook, and SAP
  • Able to work independently under pressure
  • Passion for customer service and stakeholder engagement
  • Strong communication and problem-solving skills
