Overview
We are seeking a Utility Coordinator I to support permitting, utility coordination, and project tracking efforts within a fast-paced infrastructure environment. This role is ideal for candidates with strong administrative, financial coordination, and Excel skills who can manage multiple tasks while maintaining accuracy and deadlines.
The position is primarily remote but requires candidates to be based in the Seattle, WA area for periodic onsite meetings.
Key Responsibilities
Receive, review, and process documentation for utility and municipal permit applications
Submit permit applications and track progress through completion
Process utility invoices, application fees, and contractor payments
Create and manage purchase orders and process vendor invoices
Coordinate ACH payments, check requests, and financial transactions
Maintain accurate project records, files, and tracking systems
Monitor project timelines, deliverables, and deadlines
Communicate with internal teams, municipalities, and utility agencies
Prepare reports and provide updates on project status and variances
Support meeting coordination, documentation, and general administrative tasks
Conduct internet research for permitting requirements and utility applications
Follow up with municipalities and utilities on application statuses
Required Qualifications
High School Diploma or equivalent
1–3 years of experience in project coordination, administrative support, or similar role
Strong Microsoft Excel skills (mid to advanced level)
Experience processing purchase orders and vendor invoices
Experience working with ERP systems (JD Edwards, Oracle, or similar)
Preferred Qualifications
Experience working with government agencies, utilities, or permitting processes
Familiarity with telecommunications or infrastructure projects
Associate degree or equivalent work experience
Skills & Competencies

Detail-oriented with strong accuracy in data handling
