Job Description

Role Overview:

The Fleet Manager oversees the entire lifecycle of a vehicle fleet operated under an operational leasing model. The role involves designing and analyzing fleet structure proposals, optimizing vehicle maintenance programs, improving fuel efficiency, controlling costs, managing supplier relationships, and contributing to company car leasing contracts. The Fleet Manager is also responsible for coordinating the vehicle return process, ensuring compliance with mileage and insurance requirements, while minimizing penalties and maximizing cost efficiency.

Responsibilities

  • Design, propose, and continuously optimize the company’s fleet structure to meet operational and cost-efficiency objectives, considering vehicle type, usage patterns, and economic performance.
  • Analyze fleet performance and utilization on a regular basis to ensure alignment with business needs and cost targets.
  • Prepare cost–benefit scenarios related to leasing terms, vehicle models, and fleet size, and provide data-driven recommendations to management.
  • Deliver regular fleet performance and cost reports, including usage, expenses, and future fleet needs.
  • Develop and manage proactive vehicle maintenance programs to minimize downtime and extend vehicle lifecycle while avoiding unnecessary repairs.
  • Manage relationships with maintenance and service providers, negotiating and monitoring Service Level Agreements (SLAs) to ensure quality, timeliness, and cost efficiency.
  • Use GPS and telematics systems to support predictive maintenance planning based on mileage and driving behavior.
  • Monitor and control maintenance and repair costs, ensuring budget compliance.
  • Analyze fuel consumption across the entire fleet and identify trends related to inefficient driving, vehicle performance issues, or fuel waste.
  • Develop and implement fuel efficiency programs, including eco-driving initiatives, vehicle configuration optimization, and route planning.
  • Research and propose alternative fuel solutions (e.g., electric or hybrid vehicles) and technologies to improve fleet fuel efficiency.
  • Manage the fleet budget, including leasing, fuel, maintenance, and insurance costs, ensuring alignment with company financial objectives.
  • Continuously monitor fleet-related operational expenses and identify cost optimization and savings opportunities.
  • Support negotiations with leasing companies and suppliers to secure favorable leasing, service, and insurance terms.
  • Provide detailed cost analysis reports and insights to support financial decision-making.
  • Contribute to the vehicle contracting and leasing process by participating in the drafting and review of leasing contracts.
  • Ensure contracts protect company interests regarding costs, mileage allowances, insurance coverage, and return conditions.
  • Build and maintain strong partnerships with leasing providers and support negotiations for optimal contractual terms.
  • Manage the vehicle return process by optimizing mileage, preparing vehicles for inspection, and minimizing end-of-contract penalties.
  • Ensure all leased vehicles are properly insured throughout their lifecycle and manage claims and damage processes.
  • Coordinate vehicle replacements to ensure operational continuity with minimal disruption.
  • Monitor and deliver against key fleet KPIs, including fleet utilization rate, cost per kilometer, maintenance cost efficiency, fuel consumption improvement, and leasing contract optimization.

Profile Description

Requirements:

  • Bachelor’s degree in Logistics, Operations Management, Business Administration, or a related field.
  • Minimum 5 years of experience in fleet management, preferably within operational leasing models.
  • Strong knowledge of automotive legislation and vehicle compliance requirements.
  • Mandatory certification as the designated person responsible for automotive activities (according to local regulations).
  • Solid understanding of vehicle mechanics, maintenance processes, leasing contracts, and fuel efficiency strategies.
  • Experience working with GPS/telematics systems and data-driven decision-making tools.
  • Advanced analytical skills with the ability to interpret performance and cost data.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Access); SAP knowledge is an advantage.
  • Valid Category B driving license.
  • Strong negotiation, supplier management, and organizational skills, with high attention to detail and cost control.
  • Excellent communication skills; English proficiency is an advantage.
