About The Role
We are seeking a highly proactive and detail-oriented Executive Operations Assistant to support the Senior Leadership Team (SLT) at Crain Communications, including the Chief Operating Officer and other senior executives. This pivotal role requires a candidate with strong ownership capabilities, sound judgment, and the ability to anticipate the needs of executive leadership in a fast-paced, high-visibility environment. Unlike traditional task-based administrative roles, this position demands real-time decision-making, a commanding executive presence, and the ability to operate as a trusted extension of leadership. The ideal candidate will be highly self-directed, maintain composure under pressure, and adeptly navigate evolving priorities and dynamic executive interactions. Qualifications
- Minimum of 5+ years supporting senior executives or C-suite leaders in fast-paced, high-visibility environments.
- Exceptional organizational and time management skills with the ability to prioritize effectively.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and the ability to build professional relationships with stakeholders at all levels.
- High attention to detail with the capability to manage multiple priorities simultaneously.
- Proficiency in calendar management, meeting coordination, and logistical planning.
- Experience with travel arrangements, expense reporting, and vendor coordination.
- Demonstrated problem-solving skills and the ability to exercise sound judgment independently.
- Self-motivated and proactive, with a strong sense of ownership and accountability.
- Comfortable working in a dynamic environment with shifting priorities and deadlines.
Responsibilities
- Manage complex and dynamic calendars for multiple members of the SLT, proactively resolving conflicts and scheduling challenges.
- Coordinate internal and external meetings, including logistics, materials preparation, and ensuring all arrangements are handled in advance.
- Maintain awareness of leadership priorities, adjusting schedules and commitments in real time as needed.
- Support cross-functional collaboration across editorial, commercial, and corporate teams to facilitate seamless communication and coordination.
- Own the end-to-end execution of executive meetings, including room setup, preparing agendas, and managing logistics.
- Proactively manage guest experiences from arrival through departure, ensuring professionalism and seamless interactions.
- Track guest arrivals, greet and escort visitors, and develop a comprehensive understanding of executive preferences to anticipate needs.
- Serve as the first line of support for in-office operational issues, troubleshooting independently and escalating when necessary.
- Assess situations quickly, gather relevant information, and take decisive action to resolve issues in real time.
- Exercise sound judgment in ambiguous or high-pressure situations impacting executive operations.
- Support office presence and operations by maintaining strong relationships with executives and key stakeholders.
- Assist with administrative and financial tasks, including purchase orders, invoice processing, vendor communication, and expense reports.
- Coordinate logistics for internal events, leadership meetings, and other special projects as required.
