The organization operates through multi-location project sites and requires strong HR coordination across corporate office and field workforce.
Role Purpose
The Clerk will provide essential administrative and clerical support to the corporate office, ensuring smooth day-to-day operations. The role requires a detail-oriented, organized, and tech-savvy individual who can manage records, handle correspondence, support data entry, and assist across departments including HR, Finance, and Project Coordination.
Key Responsibilities
1. Documentation & Record Management
- Maintain and organize physical and digital files, records, and documentation accurately.
- File, retrieve, and update documents as required by different departments.
- Ensure proper labelling, version control, and archiving of all records.
- Support preparation and formatting of letters, memos, and official communications.
2. Data Entry & Database Management
- Accurately enter data into company systems, spreadsheets, and databases.
- Maintain and update HR Master Sheets, vendor lists, employee records, and project trackers.
- Handle data entry in accounting systems and support basic accounts-related tasks independently.
- Verify data accuracy and flag discrepancies for correction.
3. Office Administration & Equipment Handling
- Operate and maintain office equipment including desktops, laptops, copiers, printers, and scanners.
- Manage office supplies inventory and coordinate replenishment as needed.
- Coordinate courier, dispatch, and mail handling — both incoming and outgoing.
- Assist in setting up meeting rooms, printing materials, and general office upkeep.
4. Communication & Correspondence
- Handle incoming and outgoing calls with professional phone etiquette.
- Draft and send clear, concise, and professional emails on behalf of the team.
- Coordinate with internal departments and external stakeholders for routine communications.
- Maintain a log of all inward and outward correspondence.
5. HR & Administrative Support
- Assist the HR team with onboarding documentation, filing, and record keeping.
- Support coordination of interviews, meetings, and internal events.
- Maintain attendance records, leave trackers, and employee files.
- Assist in preparation of HR reports, letters, and circulars.
6. Accounts & Financial Support
- Support basic accounting tasks including invoice tracking, voucher filing, and payment records.
- Maintain petty cash records and assist in expense documentation.
- Coordinate with the finance team for bill submissions and reimbursement processing.
- Handle data entry in accounting software as directed.
Candidate Profile / Preferences
- Graduate in any discipline (Commerce / Arts / Science); additional certification in Computer Applications preferred.
- 1–5 years of experience in a clerical, administrative, or office support role.
- Excellent typing speed with proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and Google Sheets.
- Experience in data entry software and knowledge of basic accounting systems.
- Strong organizational skills with the ability to multitask and prioritize.
- Excellent verbal and written communication skills in English and Hindi.
- Professional call etiquette and ability to handle incoming/outgoing mails independently.
- Clear and concise email communication skills.
- Attention to detail in managing files, records, and documentation.
- Willingness to support colleagues and contribute to a positive work atmosphere.
- Familiarity with office equipment such as desktops, laptops, copiers, and scanners.
Technical Skills Required
- MS Word, MS Excel, MS PowerPoint — proficient (must)
- MS Outlook & email management — professional level (must)
- Google Sheets & Google Docs (must)
- Data entry software and basic accounting systems (preferred)
- Operating office equipment: desktops, laptops, copiers, scanners (must)
- Basic knowledge of ERP or HRMS tools (preferred)
